How to Choose a Vacation Rental Manager in Joshua Tree: 8 Questions to Ask

Choosing a vacation rental manager in Joshua Tree is not just a matter of comparing percentages.

A management company influences how your home is priced, presented, maintained, marketed and cared for between stays. The right manager can make ownership feel a lot easier while protecting both the guest experience and the long-term performance of the property.

Before signing a management agreement, these are eight questions worth asking.

1. How hands-on is your local team?

Start with the part of management that is hardest to see from a proposal: who is actually paying attention to the house.

Ask whether the company has a local team, how often the property is physically checked, who oversees cleaning and maintenance, and what happens when something goes wrong during a guest stay. A manager can be very responsive online and still have limited involvement at the property itself.

In the High Desert, hands-on oversight matters. Heat, wind, dust, pools, spas, septic systems, propane and remote locations can create issues that are much easier to catch when someone is regularly on site.

It’s also worth asking who talks to your guests. Fast replies matter, but so does having a real person involved when a guest has a problem. At Cocoon, we use technology to help our team stay fast and organized, but we do not use AI or virtual assistants to communicate with guests. Guest communication is handled by our team.

2. How do you manage pricing?

Dynamic pricing software can be useful, but software alone is not a revenue strategy.

Ask how the manager uses demand, booking pace, seasonality, events, lead time, day of week, minimum stays and comparable properties when making pricing decisions. You should also understand how often rates are reviewed and whether someone is actively monitoring performance rather than simply letting an algorithm run.

A strong manager should be able to explain why a rate is where it is and how the strategy changes when the market changes.

3. What exactly is the management percentage calculated on?

A percentage by itself does not tell you the true cost of management.

Ask what revenue the percentage applies to. Is it calculated on nightly revenue only? Does it include cleaning fees or other guest charges? Is it calculated before or after platform fees? Two companies can quote similar percentages while using very different definitions of what counts toward the fee.

The management proposal should make that structure easy to understand before you sign.

At Cocoon, we walk every owner through exactly how our fee is calculated before anything is signed, so there are no surprises on your first statement.

4. Do you add markups to vendors, maintenance or supplies?

This is one of the easiest questions to overlook.

Some management companies add a margin to maintenance work, vendor invoices, replacement items or other property expenses. That can make the real cost of management difficult to compare from the headline percentage alone.

At Cocoon, we use a straightforward percentage-based management structure and do not add markups to vendor invoices, maintenance or supplies. Owners see the actual underlying cost rather than an extra management margin layered on top.

5. How do you manage pools, spas and other high-maintenance amenities?

Amenities can be one of the biggest reasons a guest books a desert home, but they also create more operational responsibility.

If your property has a pool, spa, sauna, cold plunge, outdoor shower, fire pit, EV charger or other specialized feature, ask how the manager monitors it, coordinates service and responds when something is not working correctly.

The more a home depends on its amenities to justify its positioning and nightly rate, the more important reliable local oversight becomes.

6. How would you position a design-forward home?

Joshua Tree has many visually strong vacation rentals, and a distinctive property should not be marketed like a commodity.

Ask how the company approaches photography, photo order, listing copy, design recommendations and the property's overall positioning. The manager should be able to identify what makes the home different and communicate that quickly to guests.

This matters for both design-forward homes and luxury properties. Strong architecture, landscaping, views and outdoor spaces only help performance if the listing makes those strengths obvious.

7. How do you market beyond Airbnb?

Airbnb is an important booking channel, but it should not be the only way guests can discover the property.

Ask about Vrbo, direct booking, repeat guests, email marketing, SEO and other channels that can bring in bookings from more places. Also ask whether the manager is building an audience of its own or relying entirely on the booking platforms.

A broader distribution strategy does not mean listing everywhere just to list. It means giving the right property multiple ways to be found.

8. What results can you actually show me?

Management companies can make broad promises about occupancy, revenue and service. Ask for evidence.

You can also review Cocoon’s real vacation rental management results to see how our strategy has affected revenue, ADR and paid-night performance across different types of homes.

That may include comparable property performance, year-over-year results, guest review data or case studies that show how the company's strategy has worked for homes similar to yours. A projection is more useful when you understand the assumptions behind it.

Ask what you'll see once the home is under management, too. You should never have to wonder how your property is doing. Cocoon owners get an owner portal, monthly statements and a direct line to our team.

You should also ask what the manager believes could improve your specific home. A thoughtful answer is usually more valuable than an aggressive revenue number.

The best manager should fit the property

There is no single management model that is right for every vacation rental owner.

The best fit depends on the home, the owner's goals and how involved the owner wants to stay. A highly amenitized, design-forward property may need a very different level of oversight and positioning than a simpler rental.

What matters is understanding exactly what the manager will do, how the property will be cared for, how pricing and marketing decisions will be made, and whether the company can support the type of guest experience your home is meant to deliver.
